Business Dashboards for Small Business Owners
A useful dashboard shows jobs, invoices and leads — not 40 vanity charts. Here is when Calgary owners should build one, and when a spreadsheet is enough.
A business dashboard is worth building when you keep asking the same three questions and the answers live in three different logins.
It is not worth building when you want it to look like a SaaS commercial.
For most Calgary owners, the useful screen shows leads, work in progress, and money. Everything else is decoration.
This is how we scope dashboards.
What to put on version one
- New leads this week, and which ones have no reply
- Jobs or orders in progress, and what is blocked
- Invoices sent vs paid
- One operational number you already manage by gut (vans on the road, chairs booked, units in stock)
If you cannot name those, you are not ready for software. You are ready for a better weekly meeting.
What to leave off
Real-time animations. Twenty filters. A "AI insights" panel that restates the same numbers. Social follower counts.
Those are how dashboards become something nobody opens.
Already paying for three tools that do not talk? That is a CRM and integration problem first. Tell us what you use.
Spreadsheet vs custom
Stay in Sheets or Excel while one person owns the file and it takes under 20 minutes a week.
Move to a custom dashboard when two people edit it, it breaks, or you are re-typing from Jobber, QuickBooks and a form inbox every Monday.
We will recommend staying put if that is cheaper. See also client portals if the need is sharing files with customers rather than watching internal numbers.
Data quality is the real project
If job statuses are not updated, the dashboard will lie. We usually spend the first week on what "done" means in your operation, not on colours.
Garbage in is not a design problem.
How we price it
Fixed scope: the sources, the users, the four widgets, the refresh rate. Hosting and a small change budget after. No open-ended "phase 2" hidden in phase 1.
Get a dashboard brief
Write the three questions you want answered every Monday. Send the tools you already pay for. We will tell you build, integrate, or keep the sheet.
Frequently asked questions
What is a business dashboard?+
It is a single screen that shows the numbers you use to run the week: open jobs, unpaid invoices, new leads, and anything that is blocked. It is not a slide deck of charts you look at once a quarter.
How much does a custom dashboard cost?+
A focused dashboard that pulls from one or two systems typically starts in the $8,000 to $20,000 CAD range depending on logins, permissions and how messy the source data is. If the data is not clean, we will say so before we build.
Can I just use Google Sheets?+
Yes, and you should, until the sheet has multiple authors, breaks every Monday, or hides the one number you need. A custom dashboard is for when the spreadsheet has become the bottleneck.
